A Retail Chain Recovers Over $25,000 in Billing Errors

The Challenge

The retailer managed their own waste services across more than 200 stores using internal resources and no unified system. As a result, some stores were billed twice for the same pickup. Other invoices carried administrative errors left over from a prior billing setup.

These charges didn't match the vendor agreements on file. But no one on staff had adequate time to get a unified source of truth, let alone check every invoice line by line, so the errors went unnoticed for months.

The Solution

The retailer chose DSQ Discovery as its source of truth and engaged DSQ Professional Services to get the data set properly organized inside of DSQ Discovery.

The DSQ team used the combination of vendor invoices and vendor agreements to build the retailer a source of truth for it to audit future invoices against.

With that in hand, double-billings and other rate errors were easy to flag and disputes could be easily sent to its vendors.

The retailer reviewed and approved each credit without needing a manual review of line-items.

The Results

$18,000 confirmed through a review of invoices that didn't match the vendor agreement on file. Plus another $7,000 of real credits. Together, the audit secured more than $25,000 in confirmed credits, with another $28,000 still under review.

$118,000 in suspected double billing was identified and is being worked through.

An audit only pays off when credits get applied on the account. In this case, the return on the program keeps improving as credits are applied.

In one case, a vendor billed a store outside the vendor's own service area. Error caught and a full refund secured.
